When is a "Floating" license occupied and released?

Occupied

A floating license is occupied whenever a user who has been assigned "Floating" license type logs into Accompa.

Notes:

  • Logging in from two different browsers on the same computer (such as logging in using Firefox and Chrome) will occupy two floating licenses.
  • Logging in using multiple tabs/windows of the same browser will only occupy one floating license.
  • Logging in using multiple instances of a browser (not tabs or windows, but instances) running on the same computer will count as multiple floating licenses.

Released

An occupied floating license is released (i.e. available for other users) when one of the following happens:

  • The user logs out of Accompa - the license will be released immediately.
  • The user logged in, and is inactive (but has not logged out) - the license will be released after 120-150 minutes of last known activity. This includes the following scenarios:
    • User is logged in, his browser is open and his computer is connected to the internet - but the user has not interacted with Accompa.
    • User logged in within the past 150 minutes, but his current status is unknown (as Accompa is a 100% web-native application, it cannot distinguish reliably between the following scenarios):
      • User has closed his browser without logging out of Accompa.
      • User has shut down his computer without logging out of Accompa.
      • User's computer is disconnected from the internet.

Why does Accompa use 120-150 minutes as the threshold?

  • In floating license design, releasing occupied licenses after a short time of inactivity (such as 30 or 60 mins) is considered user-unfriendly design - as it can lead to user frustration. Hence our selection of 120 minutes as the baseline.
  • This ensures that a user who waited to get a floating seat has ample time to use Accompa without being locked out, even if she is interrupted by an unexpected phone call, a visitor to her office, etc.

💡 Best Practices

In order to cost-effectively use your floating licenses, please request your users who have been assigned floating licenses to follow these best practices:

  • Only login from one computer and one browser at a given time. (Using multiple tabs/windows is totally fine, as that only occupies one floating license)
  • Logout from Accompa (by clicking "Logout" at the top-right of any Accompa screen) as soon as they have completed their desired tasks.
    • This will release the floating license immediately - whereas simply closing their browser or turning off their computer (without logging out from Accompa) will keep the floating license occupied for a period of 120-150 minutes.
